Acceptable Use Policy Privacy Notice Terms of Service

Welcome to the NC Youth & Family Voices Amplified (NCVA) platform ("Platform"), operated by the UNC Greensboro Center for Youth, Family, and Community Partnerships ("CYFCP," "we," "us," or "our"). By accessing or using this Platform, you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you must not use the Platform.

1. Eligibility

The Platform is intended for use by family advocates, youth advocates, certified family peer specialists, mental health professionals, community partners, agency representatives, and other individuals involved in supporting youth and families in systems of care. By creating an account, you represent that:

  • You are at least 18 years of age, or have the authorization of a parent or legal guardian.
  • You are using the Platform for legitimate professional, educational, or program-related purposes.
  • The information you provide during registration is accurate and complete.

2. Account Registration & Responsibilities

When you create an account on the Platform, you agree to:

  • Provide accurate, current, and complete information during registration and keep it updated.
  • Maintain the confidentiality of your password and not share your account credentials with any other person.
  • Immediately notify an administrator if you suspect unauthorized access to your account.
  • Accept responsibility for all activities that occur under your account.

We reserve the right to suspend or terminate accounts that violate these Terms, provide false information, or remain inactive for an extended period.

3. Account Types & Access Levels

The Platform supports different roles with varying levels of access:

  • Users have standard access to features relevant to their work, including records, events, and dashboards assigned to them.
  • Managers have additional access to team oversight functions and reporting features.
  • Administrators have full access to all Platform features, including user management, system settings, and data administration.

Your account type is assigned by platform administrators and may be changed at any time based on your role in the program.

4. Teams & Collaboration

Users may be assigned to one or more teams within the Platform. Team membership is managed by administrators and managers. You agree to:

  • Use team features only for authorized purposes related to the NCVA program.
  • Respect the confidentiality of information shared within teams.
  • Not attempt to access teams or data to which you have not been assigned.

5. Event Registration

The Platform provides training event registration and management. When registering for events, you agree that:

  • All registration information you submit is accurate and truthful.
  • Some events may require a vetting or approval process before registration is confirmed.
  • Events may have capacity limits; if an event is at capacity, you may be placed on a waitlist.
  • Registration may close within 7 days of the event date.
  • We reserve the right to cancel or reschedule events at our discretion, and we will notify registrants of any such changes.
  • Demographic information collected during registration is used solely for program evaluation and reporting purposes.

6. Records & Data

The Platform stores resource directory information, training data, and program-related content. You acknowledge and agree that:

  • Directory and resource data may contain contact information for organizations and professionals serving families.
  • You will access only data for which you have been specifically authorized.
  • You will not copy, download, share, or distribute data outside of the Platform except as required by your professional role and in compliance with applicable law.
  • You are bound by all applicable federal and state confidentiality laws and regulations.
  • Misuse of Platform data may result in immediate account termination and may be reported to appropriate authorities.

7. Surveys

The Platform may present surveys for program evaluation, training feedback, and quality improvement. Survey participation may be required as part of training or program participation. Responses may be used in aggregate for reporting and research, but individual responses will not be shared publicly without your consent.

8. Support System

The Platform includes a support ticket system. When using the support system:

  • Provide clear and accurate descriptions of issues.
  • Do not include sensitive or confidential data in support tickets unless absolutely necessary to resolve the issue.
  • Support staff may access your account information as needed to resolve your issue.
  • File attachments uploaded to support tickets are stored securely but should not contain confidential information unless required.

9. Job Board

The Platform may feature a job board with external job postings. We do not endorse, verify, or guarantee any job posting listed.

  • Job postings link to external websites and we are not responsible for the content or practices of those third-party sites.
  • We do not guarantee the accuracy or availability of any listed position.

10. File Uploads

The Platform allows file uploads in certain contexts (profile pictures, support attachments, etc.). You agree that:

  • You will not upload files containing malicious code, viruses, or other harmful content.
  • You have the right to upload any content you submit and it does not infringe on the rights of others.
  • Uploaded files are stored securely and are subject to our Privacy Notice.

11. Email Communications

By using the Platform, you may receive emails related to:

  • Account actions (registration confirmations, password resets).
  • Event registrations, reminders, and updates.
  • Support ticket updates.
  • Program newsletters (if opted in).

You may unsubscribe from non-essential communications at any time. Transactional emails related to your account or event registrations cannot be opted out of while your account remains active.

12. Intellectual Property

The Platform, including its design, code, content, training materials, and branding, is owned by CYFCP / UNC Greensboro. You may not reproduce, distribute, or create derivative works from any Platform content without written permission. Data and records you enter remain the property of the respective agencies and programs, subject to applicable data governance policies.

13. Limitation of Liability

The Platform is provided "as is" and "as available." To the fullest extent permitted by law:

  • We make no warranties, express or implied, regarding the Platform's availability, reliability, or fitness for a particular purpose.
  • We are not liable for any indirect, incidental, special, or consequential damages arising from your use of the Platform.
  • We are not responsible for any loss of data due to system failures, though we maintain regular backups.
  • Our total liability for any claim related to the Platform shall not exceed the amount you paid to use the Platform (if any).

14. Modifications to Terms

We reserve the right to modify these Terms at any time. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this page.
  • Notify users via email or a prominent notice on the Platform.

Your continued use of the Platform after changes have been posted constitutes acceptance of the revised Terms.

15. Account Termination

We may suspend or terminate your account at any time if:

  • You violate these Terms or the Acceptable Use Policy.
  • You are no longer affiliated with the NCVA program or an authorized agency.
  • Your account poses a security risk to the Platform or its users.
  • Required by law or regulation.

You may request account deletion by contacting a platform administrator. Upon termination, your access will be revoked, but records and data you contributed may be retained as required by program and legal obligations.

16. Governing Law

These Terms are governed by and construed in accordance with the laws of the State of North Carolina, without regard to its conflict-of-law provisions. Any disputes arising under these Terms shall be resolved in the courts of the State of North Carolina.
